Introduction for health facilities
This section is for staff responsible for a health facility as a whole: in-charges, focal persons and facility-level data staff.
What a facility is responsible for
- Service recording — making sure every service provided is recorded against the right service recipient, in the right stage, on the right date. The day-to-day workflow is described in the Health Worker section.
- Users and access — every person recording data uses their own account scoped to the facility's organisation unit. Accounts are not shared.
- Data quality — reviewing records before the reporting deadline: missing master register entries, duplicate enrollments, incomplete stages and services recorded on the wrong date.
- Monthly reporting — the routine reports (including HMIS 9.3 and 9.4) are produced from recorded service data, so the recording work and the reporting work are the same work done once.
A workable monthly rhythm
- Daily — record services as they are provided; use assigned working lists so nothing is left unrecorded at the end of a shift.
- Weekly — review incomplete enrollments and stages.
- Month end — run the data quality checks, resolve validation issues, then confirm the monthly report.
