Enrollment

Enrollment is how a person enters the eRecord system. In this system a service recipient (सेवाग्राही) is enrolled once in their lifetime; every service they receive afterwards is recorded against that same enrollment.

New or existing service recipient​

  • New (नयाँ) — the person has never received a service or has never been registered in the system.
  • Existing (पुरानो) — the person was registered at some earlier point.

Before enrolling anyone, search for them first. If a record already exists, open it instead of creating a second one. Duplicate enrollments inflate service recipient counts in the monthly report.

Steps​

  1. Open the recording (Tracker Capture) app.
  2. Select the program and your organisation unit.
  3. Search for the person by the available identifying details.
  4. If no record is found, create the enrollment and fill in the enrollment details.
  5. Save the enrollment. For a new service recipient the master register (मुल दर्ता) form opens next.

Correcting details later​

If details change — or were incomplete at the time of enrollment — edit the existing enrollment. A common example: an infant registered for BCG may be recorded without a name, or as Baby of parents. Once the child has a name, correct the name on the existing enrollment. Do not enroll the child again.

After enrollment​

The master register entry follows enrollment and decides which services are offered for that person, based on age group and sex. Recording a service without completing the master register can raise a validation warning and can leave the person out of age-group counts in the monthly report.
